GENERAL TERMS AND CONDITIONS FOR EDANA EVENTS, TRAINING, AND DIGITAL LEARNING

ARTICLE 1: SCOPE AND APPLICABILITY 

1.1. These Terms and Conditions apply to all professional offerings organized by EDANA, including but not limited to conferences, seminars, workshops, in-person training, live webinars, and asynchronous e-learning modules (collectively referred to as "the Activity"). 

1.2. By registering for an Activity or purchasing access to digital content, the participant and their employer (the "Client") agree to be bound by these terms.

ARTICLE 2: REGISTRATION, PAYMENT, AND ACCESS 

2.1. Registration is only confirmed upon receipt of full payment. Payment must be made via the online portal or within the timeframe specified on the invoice. 

2.2. Invoices are payable upon registration. Failure to remit payment before the Activity start date (or before access credentials are issued for e-learning) may result in the cancellation of the registration without prior notice. 

2.3. For e-learning, access credentials are personal and non-transferable once the digital platform has been accessed.

ARTICLE 3: CANCELLATION BY THE CLIENT 

3.1. Live Activities (Events, In-person/Online Training): EDANA applies a strict four-week (28 calendar days) cancellation policy.

  • Full Refund: Written cancellations received at least 28 calendar days before the start date will receive a 100% refund. No administrative fees apply.
  • No Refund: No refunds will be granted for cancellations received less than 28 calendar days before the start date.

3.2. E-Learning:

  • Refund Eligibility: A 100% refund is only available within 14 calendar days of purchase, provided the participant has not logged into or accessed the e-learning platform.
  • No Refund: Once the platform has been accessed or the 14-day window has expired, no refunds or credits will be issued.

ARTICLE 4: SUBSTITUTIONS AND TRANSFERS 

4.1. Live Activities: The Client may substitute a colleague at no cost, provided written notice is given at least 48 hours before the start. 

4.2. E-Learning: Substitutions are only permitted to another participant from the same company if the original registered participant has not yet accessed the platform. Once a login is recorded, the seat is considered "consumed" and cannot be transferred. 

4.3. Registration fees cannot be transferred to future Activities or different products once the refund deadlines (specified in Article 3) have passed.

ARTICLE 5: CANCELLATION OR MODIFICATION BY EDANA 

5.1. EDANA reserves the right to cancel or reschedule an Activity due to low enrollment, force majeure, or unforeseen circumstances. 

5.2. In the event of cancellation by EDANA, EDANA will do its best to inform the Client as promptly as possible, but refunds of registration fees are not guaranteed. EDANA’s liability also exclude the Client's travel, accommodation, or other peripheral costs.

ARTICLE 6: LIABILITY, RISK, AND WAIVER OF CLAIMS 

6.1. EDANA is not liable for loss, theft, or damage to personal property, nor for personal injury or illness occurring during an Activity, unless caused by EDANA’s gross negligence. 

6.2. EDANA’s liability is strictly limited to the registration fee paid. EDANA is not responsible for indirect or consequential damages (e.g., travel costs, loss of wages). 

6.3. Technical Responsibility (Digital/E-Learning): For online Activities and e-learning, the Client is responsible for ensuring their technical infrastructure (firewalls, bandwidth, hardware) is compatible with EDANA’s platforms. Failure to access content due to Client-side technical issues does not entitle the Client to a refund. 

6.4. Participants must comply with all health, safety, and security protocols of the venue or platform provider. EDANA reserves the right to remove any participant without refund for non-compliance. 

6.5. Views expressed by instructors or speakers are their own. EDANA accepts no liability for the accuracy of information provided or for professional decisions made based on Activity content. 

6.6. Force Majeure: EDANA shall not be liable for failure to perform due to causes beyond its control (e.g., strikes, pandemics, power failure). In such cases, EDANA may, at its discretion, provide a credit or transition a physical Activity to a virtual format.

ARTICLE 7: INTELLECTUAL PROPERTY AND COMPLIANCE 

7.1. All materials provided are the intellectual property of EDANA or its partners and are for the sole use of the participant. Reproduction or distribution is strictly prohibited. 

7.2. Participants must adhere to EDANA’s Competition Guidelines during all interactions, as found here: EDANA competition guidelines

ARTICLE 8: PUBLICITY PERMISSION 

8.1. EDANA may use the Client’s name, image, and voice as captured in recordings or photographs related to the Activity for advertising and commercial purposes. 

8.2. EDANA owns these Materials, and the Client waives the right to inspect or approve their use.
